PURPOSE OF THE JOB
Well, to help the firm run productively! You’ll do that through smart problem-solving, strong verbal and written communication with clients, and sharp attention to detail. Along with performing daily admin tasks – filing, scanning, mailing, answering calls – the Admin and Intake Assistant reports directly to the Communications and Administration Manager for more instruction on keeping the office running smoothly and efficiently. C.A. Goldberg, PLLC fights for targets of stalking, sexual assault and blackmail – online and off. The firm handles very sensitive matters that require urgent and judicious action from the Admin and Intake Assistant. It’s crucial that you can prioritize assignments based on the firm’s primary goals. Those goals will be discussed at 2nd-round interviews.
★ Has at least 1 – 2 years of applicable office experience
★ Possesses fine-tuned organizational habits
★ Is socially intelligent when addressing staff, potential clients, and current clients
★ Has some experience in sales or fundraising!
★ Just has that thing where you know what to do and when to do it!
• Conduct brief intake calls with potential clients
• Coordinate travel
• General assistance to owner and attorneys
• Lead weekly attorney meetings about work in progress
• Track inquiries and conduct timely and cogent follow up
• Lead the daily meeting regarding intakes
• Prepare weekly reports for Firm Owner
• Ability to learn and master our Practice Management Software
• Calendar management that is always accurate and keeps attorneys on schedule!
• Answer/route phone calls and take clear messages
• Prepare and mail legal documents
• Prepare the Director of Client Strategy ahead of potential client consultations
• Troubleshoot tech problems, i.e. knowing who to call, what to Google
• Keep supplies stocked at all times!
• Greet guests
A calming presence – Our clients are in distress and you are their first point of contact. We need your communication to be refined, precise, and tactful.
Coping skills – Exposure to disturbing information and sexually graphic material is a regular part of the job. You must be self-contained and emotionally mature.
Creative and proactive – we really do want to know your ideas on how to improve things. Don’t be afraid to speak up!
Consistent delivery – meeting goals is super important to you. This role is a integral part of the office’s ecosystem and you understand how completing smaller, not-so-glam tasks on time directly advances the firm’s mission to help people who are under attack.
IMPORTANT TO NOTE
Nobody with a law degree or who is planning to go to law school will be considered. This is not a stepping stone job to be on our legal team. We need somebody whose goal is to make our office run optimally.
It is more important to us that you have the skills for the job than that you are passionate about our practice area. The person in this role will be asked to demonstrate their administrative competency every single day. But even if you have less than 1.5 years of office experience – still apply!
